DESCRIPTION
The main objective of the “Data Collection and Archiving” task is to exclusively collect and organize a wide range of data, information and resources related to architectural and urban ambiences. This task is a fundamental step in creating a comprehensive knowledge base to support the Action objectives.
The task includes collecting various types of resources, including but not limited to:
1. Literature, and Research: Bring together academic articles, books, articles and research
related to ambiences, including historical, contemporary and interdisciplinary perspectives.
2. Case studies: document and archive real case studies of architectural and urban environments, which may include successful examples and those that can be improved.
3. Expert Interviews: Conduct interviews with experts, researchers and practitioners with knowledge and expertise in ambience.
4. Visual and sensory materials: Collection of visual materials such as photographs, drawings and sensory data that help illustrate and convey different ambiences.
5. Regulatory and policy documents: Compilation of regulations, policies and guidelines relating to the creation and management of architectural and urban ambiences in European cities.
Resource Acquisition: Involves identifying and accessing resources using academic databases, archives, online repositories, surveys, interviews, and collaboration with experts.
Data Organisation: Focuses on systematic resource organisation, creating a structured database or digital repository for easy access.
Metadata and Documentation: Resources come with comprehensive metadata for effective cataloging and referencing.
Quality Control: Ensures the reliability and relevance of collected resources, verifying source credibility.
Access and Dissemination: Makes resources accessible to all Action members and may involve creating a user-friendly platform.
Preservation: Emphasises preserving materials for long-term use, including archiving for future reference.

Objectives of the Workshop
• Collect and organise data, information, and resources on architectural and urban ambiences.
• Build a comprehensive knowledge base to support the Action's overall objectives.
• Ensure diversity of resources (historical, contemporary, interdisciplinary).
• Define quality and relevance criteria for archived data.
• Guarantee accessibility and long-term preservation of resources for Action members.
• Develop a constructive methodology based on: methods, metadata schemas, and indexing tools to facilitate search and referencing.
• Include regulatory and public-policy documents related to architectural and urban ambiences.
Expected Work Program
1. Structured documentary collection: Academic literature (articles, books, theses). Not the documents, but the channels and links to them.
• Case studies (exemplary architectural, design and urban projects focused on ambiences, artistic practices, etc).
• Expert and practitioner interviews.
• Visual and sensory materials (photos, sound maps, videos, etc.).
• Regulatory and standards documents.
• Policy and masterplan documents
2. Methodological tools:
• Templates and standardised forms to collect and describe resources (develop and design).
• Metadata schemas (consistent descriptors for indexing resources).
• Archiving procedures (quality, relevance, durability).
• Access and dissemination procedures (database, web portal, user-friendly interfaces, etc.).
3. Durable outputs for the Action:
• Develop a shared documentary infrastructure (accessible to all members).
• Contributions to the Action's major deliverables (the 2028 White Paper and the Dictionary of Ambiences).
• Potential scientific outputs (collective articles, special issues, proceedings, etc.).

• Duration: 3 days
• Funding: Eligible participants will be invited via e-COST and reimbursed in accordance with COST rules. Daily allowances of €185/day are provided to participants by reimbursement only. Participants must submit their reimbursement claims in e-COST within 30 days of the workshop's completion. The Grant Holder will process reimbursements after validation of the claims.
